About Conference Grants

Conference grants fund in-site presentation at the international conferences within the scientific fields and focus relevant for the goals of CA23144 – ESIND. Depending on the stage of your career, and also on the home country of your institution, you can apply for a different kind of grant.

Three kinds of the Conference Grants

Young Researcher and Innovator Conference Grant (YRIG) – funds an in-site presentation of your own work, if you are a young researcher and innovator (YRI in terms of COST, that is under 40 years old). You will see if you are eligible for this type of conference after registering/logging in to the e-COST platform.

Inclusiveness Target Countries Conference Grant (ITCG) – funds an in-site presentation of your own work. You must be a member of a Working Group. You are affiliated to a legal entity located in an Inclusiveness Target Country or Near Neighbour Country. You will see if you are eligible for this type of conference after registering/logging in to the e-COST platform.

Dissemination Conference Grant (DCG) – funds an oral presentation of the work of ESIND Action. You must be a member of a Working Group. You will see if you are eligible for this type of conference after registering/logging in to the e-COST platform.

Important Notes

Your participation in a conference must be connected with the research focus of the COST Action, as defined in the Memorandum of Understanding. There must be a clear relationship between CA23144 – ESIND objectives and your activities proposed in the application form.

The application must be submitted at least 8 weeks before the targeted conference. The conference must end no later than 30 September 2025.

An applicant must be a member of at least one of the ESIND working groups.

It is possible to apply for a grant up to EUR 2500. The grant is reimbursed upon completion of the conference and submission of all required documents.

Selection criteria

  • Relevance of the proposal in terms of contributing to the achievement of ESIND’s goals.
    • Being a working group member of ESIND.
    • Impact of the grant on the applicant’s career.
    • Scientific record or/and importance of the chosen research topic.

    When several proposals meet the evaluation criteria evenly, priority will be given to:

    • Applicants who participate in the Action and significantly contribute to its goals.
    • Young Researchers and Innovators, under the age of 40.
    • Early Career Investigators (ECI), defined by COST as a researcher whose career span less than 8 years between the date of the PhD/doctorate completion and the date of involvement in the COST Action.
    • Proposals from applicants who have not previously received an individual grant from ESIND.

    Conference Grant Awarding procedure step by step

    STEP 1

    • Sign-up on e-COST platform: https://e-services.cost.eu/user/login
    • Fill in your user profile and upload your CV. Your CV must include a list of academic publications, conference/workshops presentations and other relevant research activities.
    • Click on ‘Apply for a Grant’
    • In e-COST you will only see options that are relevant to you.
    • Preferably choose YRIG, then ITCG and DCG as the last option. If you are not sure which type of conference to choose, please contact us: navarro@uco.es; zuzana.cilova@tul.cz
    • Click on ‘Apply’ in relevant conference.

    • Fill in the form ‘Apply for a Grant’
      • Choose the COST Action CA23144 – Europe’s Representations of India: Texts, Images, and Encounters

      • Grant title – always include the name of the organizing institution, the location of the conference, and the title of the event you will be attending.
      • Amount requested – fill in your budget. The budget should be reasonable and must not exceed EUR 2500.

    STEP 2

    • Upload the following documents in the section ‘Supporting documents’:
      • Completed Grant Application relevant for your conference:
      • File with the abstract of the accepted conference presentation
      • Acceptance (or invitation) letter from the conference organizers
      • Application Letter: A letter summarizing the main scientific goals of the proposed presentation, including the details about the title, organizing institution, conference venue, and also description of the panel or other platforms within which you will present and discuss. Statement of the relation between your presentation and ESIND research focus.
      • Applicant’s CV in English: Your CV must include a list of academic publications, conference/workshops presentations and other relevant research activities.

    STEP 3

    • Submit the application
    • If successfully submitted, the status will change from ‘Draft’ to ‘Submitted’
    • Submitted applications will be assessed on the basis of the evaluation criteria described in the first section.
    • Your application is approved when you receive a Grant Letter.

    STEP 4

    • Upload the following documents in e-COST platform:
      • Report
      • Certificate of attendance
      • Programme of the conference or book of abstracts / proceedings indicating the oral presentation of the grantee
      • Copy of the given (oral) presentation (PDF, MS Word, MS Power Point, etc.)

    • Submit the required documents e-COST platform within 30 days after the end of the conference.
    • The grant will be reimbursed once the Report will be approved. The payment is made in EUR.
